How to locate offline Outlook Data File (OST) on your system?

OST file (offline Outlook Data File) is the local copy of a user mailbox stored on Exchange Server. It facilitates offline working on the user system. By default, OST files are placed on any of following locations.

  • drive:\Users\\AppData\Local\Microsoft\Outlook
  • drive:\Documents and Settings\\Local Settings\Application Data\Microsoft\Outlook

It's very easy to find out the OST file location in your system. However, if you are not able to find the location of PST file, then all that you need is to follow the steps given below:

For MS Office Outlook 2016/2013

Outlook users can easily find the location of OST files on their systems by following the steps given here (the steps given are for Outlook 2013/2016 versions).

  1. Start the Outlook application and click File on the toolbar. It will open the Account Information window.
  2. In Account Information window, go to the Account Settings > Account Settings options and click on it.
  3. In the Account Settings window, go to the Data File tab to view the location of different data files. To open the location of OST file, select the file and click Open File Location.
  4. Now the default location where OST file is residing is opens.

For MS Office Outlook 2010

  1. Click on File Tab in the Ribbon and Select Info tab in the Menu.
  2. Click on Accounts Settings tab, Click on Account Settings again.
  3. In the list, select Microsoft Exchange Server, and then click Change.
  4. Click More Settings.
  5. On the Advanced tab, click Offline Folder File Settings.

For Microsoft Office Outlook 2007

  1. Start MS Outlook.
  2. On the Tools menu, click Account Settings.
  3. In the list, select Microsoft Exchange Server, and then click Change.
  4. The "Change E-mail Account" dialog box appears.
  5. Click More Settings. The "Microsoft Exchange" dialog box appears.
  6. Select the Advanced tab. The view of the "Microsoft Exchange" dialog box gets changed.
  7. Click the Offline Folder File Settings button. The "Offline Folder File Settings" dialog box appears:

  8. The dialog box is having OST file location in the File field.
  9. OST file is usually located at » C:\ Documents and Settings\ username\ Local Settings\ Application Data\ Microsoft\ Outlook\ outlook.ost
  10. Just copy the OST file path.

For Microsoft Office Outlook 2003

  1. On the Tools menu, click to select E-mail Accounts.
  2. Click View or change existing e-mail account, and then click Next.
  3. Click Microsoft Exchange Server, and then click Change.
  4. Click More Settings.
  5. On the Advanced tab, click Offline Folder File Settings.

The complete information of an Outlook user (email, calendar events, calendar, notes, journals, and contact, etc.) is saved both on the mail server and local computer. OST file is the offline version of online exchange information which the user can create automatically while setting the MS Outlook or when a folder is made offline very first time.

What to do if OST files are inaccessible?
